How to create and add footnotes in powerpoint

Presentation citations or references in the body of text on a slide are either explained in footnotes at the bottom of a slide or in endnotes following the presentation. When you add a footnote to a slide you have to manually add a reference number to the slide and footnote.

Add the footnote text

Here’s an example of a footnote in PowerPoint. Follow the steps below to add your own footnote. After adding your footnote, you can make the footnote indicators superscript.

Click the place in the body of the slide where you want to add a footnote, and type a number or symbol, like “1”.

Click Insert > Header & Footer.

On the Slide tab, select Footer, and in the Footer box, type the number or symbol you added in step 1, and then type the text that you want to appear in the footnote at the bottom of your slide.

Note: The Preview pane highlights the area on the slide where your footnote will appear.

Click Apply if you want the footer to appear only on the selected slide. If you want it to appear on all of the slides, click Apply to All.

Make the footnote indicators superscript

Select the number or symbol you added to the footnote text at the bottom of the slide.

Click Home, and in the Font group, click the Dialog Box Launcher .

Click the Font tab, and under Effects, select Superscript. Superscript makes the number or symbol smaller and slightly above the normal line of text.

Tip: You can raise the number or symbol higher by entering a higher percentage in the Offset box. For example, the following shows the footnote with superscript format applied and an offset of 70%.

Now, select the number or symbol you added to the body of the slide, and follow steps 2 and 3 to apply superscript formatting.

Remove a footnote

Go to the slide with the footnote you want to remove. (If you applied a footnote to all slides, go to any slide.)

Click Insert > Header & Footer.

Clear the Footer check box.

Note: If you applied a footnote to all slides and want to remove it from all slides, click Apply to All. If you applied a footnote to all slides but only want to remove it from the current slide, click Apply.

You can manually make footnotes in PowerPoint for the web even though it doesn’t have the ability to make superscript characters.

On the Insert tab, tap or click Text Box.

Select the placeholder text in the text box, and then type a numeral or other symbol that you want to use as a footnote.

Select the character you typed. On the Home tab, in the Font group, change the Font Size of the character to an appropriate size for a footnote in this circumstance—usually a few points smaller than the text it will appear next to.

Point the cursor at the edge of that text box until you see the four-headed arrow. Then click and drag to move it where you want it to appear on the slide.

Once again, on the Insert tab, tap or click Text Box.

Select the placeholder text in the text box. Then type the same numeral or symbol you used in step 2, and then enter the descriptive text next to it.

In a simple bulleted list let’s add the PowerPoint footnote annotation that helps us attribute a fact. I’ll type a number like 1 after the sentence, highlight it, and then click on the arrow just below the Font section of the menu.

You could add more annotations and more references at the bottom by just incrementing the number like 2 for the second annotation and 3 for the third, for example.

The PowerPoint Slide Master is like a style sheet for your presentations. Changes made to the Slide Master apply to the slides that are created after you format the Slide Master.

To access the Slide Master in a PowerPoint presentation, select View > Slide Master.

Change the Layout in the Slide Master

The Slide Master view contains all the slide layouts used in PowerPoint. The Slides pane displays thumbnail images of the slide master (the top thumbnail image) and the related slide layouts (the smaller thumbnail images located below the slide master).

Changing the font on the slide master affects the text placeholders on all slides. However, not all placeholders are affected by changes made to the slide master. You may need to make additional changes to the different slide layouts.

How to Edit Headers and Footers in PowerPoint

There are a couple of ways you can edit headers and footers in PowerPoint. Since each slide in your PowerPoint presentation is likely different, you might only need to edit something on a single slide. If that’s the case, just click the content and edit it as you would any other text in that slide.

You can edit the format of the text, too. Just click and drag your cursor over the text you want to edit to highlight it, and then use the formatting tools in the pop-up menu.

If you want to edit the footer on all of your slides, you can do so by going back to Insert > Header and Footer, but the formatting options aren’t available there.

If you want to change the font size and color of the footer text on all slides, select “Slide Master” in the “Master Views” section under the “View” tab.

Adding a header isn’t so much of a hack, as it is just adding a new text box to the top of your slide. You can do this in the Slide Master, so it will then appear on every slide in your presentation.

To do this, navigate to View > Slide Master to open the Slide Master. Select the top slide, go to the “Text” group under the “Insert” tab, and then click “Text Box.”

Click and dragging your cursor to draw a header text box in the appropriate location, and then type your text.

When you return to View > Normal, your new header box will appear at the top of each slide.

When creating a corporate presentation, you can use footnotes to signal where to go to get more information; assign citations and references; or make asides to the employees or customers reviewing the slideshow. But because Microsoft PowerPoint doesn’t contain the same footnote auto-creation feature as in other Office programs, you’ve got to create the twin elements of a footnote — the superscript character and the footnote text itself — on your own. Workarounds for the process are as simple as most of the tasks you already perform in PowerPoint, and the end result looks exactly the same.

Step 1

Select a slide where you want to add a footnote. Go to the Insert tab, and click the “Header & Footer” button on the ribbon to bring up a dialog box.

Step 2

Place a checkmark in the Footer box on the “Include on slide” section.

Step 3

Type the footnote, including any number reference, into the text box below the check box. For example, if this is your first footnote, your text might be “1. See Resources, slide 22.”

Step 4

Click the “Apply” button. Make sure not to click the “Apply to All” button, since you’ll likely want different footnotes on each slide. The footnote appears at the bottom of the slide, centered horizontally.

Step 5

Click on the footnote text box and drag it to the left side of the slide, making sure it doesn’t overlap off the slide onto the shaded PowerPoint background. Click the cursor anywhere in the text, and go to the Home tab. Click the “Align Text Left” button in the Paragraph area of the ribbon to line up the beginning of the text with the left edge of its text box.

Step 6

Click into an existing text box on the slide, or insert a new one, and type the text you want to footnote, such as the name of a company stakeholder. After typing the text, type any closing punctuation, such as a period. Leave the cursor directly to the right of the last character.

Step 7

Type the footnote number that corresponds with the one you typed in the footer, such as “1.”

Step 8

Highlight the number, right-click on it, and select “Font.” Place a check in the Superscript box, and click the “OK” button. The footnote reference now appears in superscript.

The ability to add footers in PowerPoint is useful for any number of reasons. You can use it to insert citations and references, notes about what you’re saying, disclaimers, a company motto, or even a little joke if you want to make it a fun kind of slideshow.

Adding headers and footers to your PowerPoint slides is easy, even if they’re not on the template. You can apply footers to a single slide or all your slides, and even exclude a footer from your title slide.

Just remember that any changes you make on an individual slide will only appear on the slide you make them on. If you want to change what the footers say on every slide, you will have to open the dialog box again.

How to add and edit a footer in your PowerPoint slide

1. In the main PowerPoint toolbar, click on the Insert tab.

2. In the Text category of the ribbon, select Header & Footer.

3. In the dialog box, check the box next to Header & Footer.

4. Enter the text that you’d like to appear in the footer in the text box underneath.

5. Once you’re finished, click Apply to apply the footer only to the slide you’re currently working on. You can also click Apply All if you want it to appear on all your slides.

6. To edit the size or shape of your footer box, click on the element and drag and release the box to resize it.

Step 1

Open your PowerPoint presentation or create a new one.

Step 2

For each quote or fact included in the presentation from another source, type a number at the end of the sentence. Start with the first quote or fact; at the end of the sentence, type the number “1.”

Step 3

Use your mouse to select the number “1” so that it’s highlighted.

Step 4

Click the “Home” tab and then, in the Font group, click the dialog box launcher (the small icon in the bottom left corner of the group).

Step 5

In the Font dialog box, click the “Superscript” check box under Effects to raise the number for a citation and click “OK.”

Create Endnotes and Hanging Indents

Step 1

Open PowerPoint and move to the end of your presentation. Click the “Home” tab, click the “New Slide” drop-down arrow in the Slides group, and select “Title and Content” for the layout of your slide.

Step 2

Type “End Notes” in the title area of the slide. The type of indent you need for your end note depends on which style you are using. Some citations call for a hanging indent where the first line of the citation is flush to the left and the line underneath is indented.

Step 3

Click in the “Contents” area of the slide. Click on the “Home” tab, and then click the “Bullets” button in the Paragraph group to remove the bullet from the Content area of the slide.

Step 4

Type “1” and use your mouse to select the number “1” so that it’s highlighted.

Step 5

Click the “Home” tab and then, in the Font group, click the dialog box launcher (the small icon in the bottom left corner of the group).

Step 6

In the Font dialog box, click the “Superscript” check box under Effects to raise the number for a citation and click “OK.”

Step 7

Type the end notes source information following the style you are using for your business.

Step 8

Repeat all of the above steps for each end note and citation in your presentation.
