Sharing has become a basic need whether you’re on a desktop or on a mobile device. Apps that can share files can pick them from anywhere on your disk however, it’s much easier if you can share files without actually opening the app. This is fairly easy to manage; if you right-click a file on macOS, you will see a Share menu with options for sharing the file. Apps normally add themselves to the share menu so it can get crowded. Here’s how you can edit the share menu on macOS.

Edit share menu

You can edit the share menu on macOS from System Preferences. Open System Preferences and select Extensions. On the Extensions preference, select the Share menu in the column on the left. The pane on the right will show you all the options that you see in the share menu.

Uncheck the options you want to remove, and check the ones you want to add. Some options, such as the Mail and Messages options can’t be unchecked. This is because they’re stock apps and as such, they are an integral part of the share menu.

Any change you make to this menu is applied right away and it’s applied for all files. Normally, the share menu will only show you relevant options that apply to a file e.g., the Add to Reading List option won’t appear when you right-click on an image so you don’t have to worry about the share menu being crowded. That said, when you add or remove an option to the Share menu, it will appear for all files that it applies to. You cannot exclude the option for certain files, and include it for others.

The options that appear on the Extensions preference are for apps that support the share menu on macOS. If an app doesn’t support the share menu, you cannot force it to appear in this list. As for the stock apps and their sharing options, there’s no way to force them out either. They’re all mostly apps that you cannot uninstall from macOS e.g., the Messages app so they will be appearing in the share menu whether you like it or not.

There’s no way to change the order the items appear in, in the share menu. They will appear in the order they were added and not in alphabetical order. On iOS, you can easily change the order the items in the share and action sheet appear in but macOS doesn’t have a similar option.

The Share menu is a regular feature in many macOS applications, including Safari, Notes, Photos, and even the Finder. It’s an important and convenient way of…well, sharing stuff. So obviously, if you can improve it, so much the better.

The Share menu is not set in stone. It can be slimmed down or fattened up to better suit your sharing preferences. For example, here’s the Share menu in Safari, which has quite a few options…maybe too many.

What you see in Safari, however, won’t be the same as what you see in an application such as Notes. Notes has far fewer options, while Finder’s options depend on the type of file you’re sharing.

Where you can share to will also depend on if you have connected to any Internet accounts such as Facebook, Twitter, or LinkedIn, or applications you have installed, such as Evernote or OneNote.

But perhaps you share from Safari a great deal, and want to whittle down the options to only the ones you use. Or, maybe you want to add more to the Notes menu.

To do this, open the Share menu for the app in question and then click “More”.

This will open the Extensions preferences. Click on “Share Menu” in the lefthand pane.

Select unchecked items to add them to the Share menu, or deselect checked items to remove them. Checkboxes that are greyed out are permanent Share menu features and cannot be removed.

After unchecking many of the items in the Share Menu preferences, we can revisit Safari and see it’s much more svelte.

It might take some trial and error to see what appears and what doesn’t. Try selecting everything in the Extensions preferences, note what you use, and then go back and deselect what you don’t use.

One last thing: you may have noticed the Recents items at the bottom of the Share menu. This is simply a short list of contacts you have shared things with recently.

We looked into a way to hide this Recents menu, but the most promising solution doesn’t work, which might be because we’re using macOS Sierra, instead of Yosemite. At this point, there doesn’t appear to be any way to clear the recent items from the Share menu, at least using Sierra.

With that said, enjoy your newfound ability to customize the Share menu to meet your particular sharing needs.

Whether it’s posting photos to Facebook, tweeting a link to a funny story you’ve just read, or sending documents to a friend over AirDrop, we’re all sharing more digital content than ever before.

To help you share content with ease, Apple provides a dedicated ‘Share’ menu that appears across macOS.

You’ll typically access this menu by clicking the ‘Share’ icon, for example if you’re in Safari then you can share the website you’re currently viewing, by clicking the ‘Share’ icon.

Even if you can’t spot this icon in a particular app or location, you may still be able to access the ‘Share’ menu by Control-clicking the content in question, and then looking for a ‘Share’ option in the subsequent context menu.

The contents of your Mac’s ‘Share’ menu will update automatically depending on the type of content you’ve selected, and your current location. For example, this menu may contain entirely different options when you’re trying to share some text via Notes, compared to when you’re sharing an image via Apple’s Photos application.

macOS selects the best options to include in the ‘Share’ menu automatically, however you can control the pool of websites, apps and services that macOS has to choose from – in this article, I’ll be showing you how to add and remove options from this pool. I’ll also be showing you how to register a wide range of different online accounts with macOS, so you’ll be able to share your chosen content, via your chosen platform, without having to enter any login details.

Register Google, Facebook, Twitter, LinkedIn and More

Before you start adding and removing items from macOS’ Share menu, you should double-check which Internet Accounts you’ve registered with your Mac. If you discover that you haven’t registered one or more accounts that you regularly post content to, then completing this registration process will allow you to access these accounts directly from macOS’ ‘Share’ menu, without you having to manually enter your login details every time.

If you’re unfamiliar with macOS’ Internet Accounts feature, then it’s a central location where you can enter your login details once, and have macOS automatically share this information with relevant Apple services and applications, so you don’t have to enter the same login details over and over again.

  • Open your Mac’s ‘System preferences…’ and select ‘Internet Accounts.’
  • All the accounts you’ve already registered will be displayed along the left-hand side of this window; review this list to see whether any important accounts are missing.

  • If you discover that an account is missing, then you can add it by selecting the service provider in the right-hand menu, and then following the onscreen instructions.

If you regularly use an account that isn’t featured in this list, then you may still be able to add it if the provider is using a compatible standard:

  • Select ‘Add Other Account’ (at the very bottom of the right-hand menu).
  • Select the standard associated with this particular account, such as CalDAV, CardDAV, or Server. If you’re unsure what standard your provider uses, then you can usually find this information by performing a quick Internet search.
  • Enter your login information and follow the onscreen instructions to complete the registration process.

Customise the Share Menu

Once you’re confident that you’ve added all the accounts you use on a regular basis, you’re ready to customise macOS’ Share menu:

  • Open your Mac’s ‘System preferences…’ and select ‘Extensions.’
  • Select ‘Share Menu,’ which will display a list of all your options.
  • All items that are currently selected, will potentially appear in your Share menu. If you want to prevent one or more of these items from being included in this menu, then simply deselect their accompanying checkbox.
  • Items that aren’t selected, won’t be included in your Share menu. If you spot an item that you’d like to include in your menu, then simply select its accompanying checkbox. Note that if an item is greyed out, then it’s a permanent fixture and cannot be deselected.

The right-click menu on the Mac is full of useful little features that appear specific to any item you’ve selected in Finder. For example, if you select an image and hit right-click, you’ll see menu options such as Set Desktop Picture. For almost every item type there’s a list of corresponding menu options that let you do something related to that item.

Unbeknown to most people, it’s possible to customise the right-click menu, either to add your own useful options or to remove some of those annoying customisations added by applications you may have installed. This tutorial shows you how to customise what’s shown.

Customising the Right-Click Menu

Right-click any file or folder on your Mac and you’ll see a context menu similar to the one shown below. There are lots of options depending upon the type of item you’ve selected (it differs for files, images, and documents for example).

To choose what’s displayed on the right-click menu, follow the steps below:

1. Open System Preferences and then choose Keyboard from the Hardware section

2. Select the Keyboard Shortcuts tab

3. In the left-hand panel, select the Services icon

4. Scroll down the list shown on the right until you see Files and Folders. It should be expanded by default, but if not just expand it to see all the options available. These control what happens when you right-click on files and folders only

5. Check or uncheck every item that you want to be visible – in the example below I’d installed the anti-virus software ClamXav and chosen to hide it from the right-click menu earlier. You can also assign a keyboard shortcut by double-clicking the menu item and typing in any key combination

6. Next, you might need to kill the Dock process to make the changes happen (or just log out and log back in). Open Terminal (type it into Spotlight or find it in the Applications -> Utilities folder) and type killall Dock followed by the Enter key

7. Go to Finder and right-click on any file or folder, and you’ll see the updated menu. For example, I selected Scan with ClamXav in the previous step and it now appears back in the menu as shown below

8. If you want to change any other folder actions, there are plenty of options – for example for highlighted text. Find the Text section to see options for when text is selected in any application (such as Mail). In this example I’ve checked Add Contact

Now go to an app and enter some text (it makes sense to use a name in this example) and highlight it, select right-click and you should now see the item you added to the menu earlier, such as Add Contact as shown below.

That’s all there is to it – you can add as many right-click options that will apply to any items you’ve selected in Finder!

People access share extensions by clicking a Share button in the toolbar or choosing Share in a contextual menu. When activated, a share extension either displays an edit view—to add a comment, for example—or switches to the corresponding app and performs a task—like an import. When you activate the Messages share extension in the Finder, an edit view appears with the selected file attached, and prompts you to add recipients and a message. Expose a single, focused sharing task. A share extension isn’t a mini-app. It performs a narrowly scoped sharing task related to the current context. For example, Photos provides an Add to Photos share extension that’s available when you have an image selected.

Craft a familiar interface. The system-provided composition view is familiar and provides a consistent sharing experience throughout the system. Use it whenever possible.

Use your app to denote the progress of lengthy operations. A share extension should dismiss immediately after initiating sharing. Time-consuming sharing activities should continue in the background, and your app should provide some way to check the status of these tasks.

Don’t assume your share extension is available. Users can enable and disable share extensions in the Extensions system preference pane.

How to Add & Edit Sharing Menu Options on iPhone and iPad

The Share Sheet in iOS 13 does not remain constant across apps. Certain options that you see in the sharing menu are strictly specific to the app you’re using. However, the procedure to add and edit options in the share sheet remains the same. So, without further ado, let’s take a look at the necessary steps.

    You could access the Share Sheet from any app that you’re familiar with. However, for the sake of this article, we’ll be using Safari. Simply tap on the “Share” icon to bring up the Share Sheet from the bottom of your screen.

As you can see here, the Share Sheet is categorized into three segments. The top-most segment is called the Favorites section. Right below it, you’ll see a list of app-specific options. Lastly, the third segment will house shortcuts to perform various other actions, which remains similar across apps.

Here, scroll all the way to the bottom of the Share Sheet and tap “Edit Actions…”

In this menu, you’ll be able to add app-specific actions and other shortcuts to the Favorites section of the Share Sheet. Simply tap on the green “+” icon located right next to each action, in order to move them to Favorites.

Now, if you want to rearrange the actions in the Favorites section, press and hold the “triple line” icon located right next to each action and move them around according to your preference.

You can also remove the unnecessary actions from the Favorites segment by simply tapping the “-” icon and then confirming it by pressing “Remove”, as shown in the screenshot below. Once you’ve finished customizing your Share Sheet, tap “Done” to confirm the changes.

Similarly, you can also customize the row of apps that show up in the Share Sheet. This is primarly used to send information to other apps, and comes in handy whenever you want to share content on social networking platforms. In the sharing menu, scroll through the row of apps and tap on “More”, which is located at the very end.

As you can see in the screenshot below, you can add, remove and rearrange apps in the Favorites section, similar to the steps that we just discussed above. Once you’ve customized it according to your liking, tap “Done” to confirm the changes.

That’s pretty much all you need to do, in order to make changes to the sharing menu on your iPhone and iPad.

Since the content that’s displayed on the Share Sheet is app-specific, you might necessarily see some of your favorite actions as you switch between different apps. Let’s say you added a “Bookmark” action to Favorites in Safari, you won’t find it when you access the Share Sheet in the Music app, because that particular action isn’t supported by the app.

Therefore, you might want to edit your Favorite actions in order to better suit the app you’re using. As a result, it will take some time before you neatly customize the Share Sheet according to your preference across various applications.

This iOS feature comes in handy in so many situations, and you can save plenty of time by performing certain actions within the Share Sheet. For example, you could use the Skitch action in the sharing menu to annotate screenshots right in the stock Photos app, without even having to open the Skitch app itself.
