This document will guide you through the steps needed to reconnect your local .pst file to your UW-Madison Office 365 Outlook profile.

Important: By February 28, 2017, Office 2013 version Office 365 ProPlus is no longer available for installation with an Office 365 subscription. Microsoft will no longer push any updates to Office 2013 suite of applications – complete details.

How to identify the name and location of your personal folders file

Microsoft Outlook for Windows

  1. Start Outlook.
  2. Click the File tab in the Ribbon, and then click the Info tab on the menu.
  3. Click the Account Settings tab.
  4. Click Account Settings again.
  5. Click Data Files.

Checking the default locations in addition to verifying the existing location is always recommended as there might be some disconnected pst-files which you might have forgotten about but still like to keep anyway. The default locations to check are:

  • C:\Users\%username%\AppData\Local\Microsoft\Outlook\
  • C:\Users\%username%\Documents\Outlook Files\

You may have more than one .pst file you are using. Note the path and file name of each of these files. The name of any .pst file (other than the default – Outlook.pst) will be the same name within your folder structure.

  • Click Close, click OK, and then click Exit and Log Off on the File menu to quit Outlook.

    Caution – the Office 365 support team does not recommend storing data locally for the following reasons:

    • Security – if someone gets access to your computer, they can easily extract the data from the local data file.
    • Loss of data – if the data is not backed up, it cannot be recovered.
    • Deleted data – if deleted, Microsoft’s recovery tool cannot be used to restore the data.

    If you found a local pst file, use the instructions below to backup/copy. If you do not have one and want to create one, follow these instructions: create an Outlook data file. After you have created a local pst folder, you will need to manually move/copy items into it. If you use the move command, it will remove the item from within your Office 365 account and place it within your local folder. This means it will no longer be visible in Outlook on the web and can only be accessed from the computer where you have this local file configured.

    1. On the Start menu, point to Programs, and then click Windows Explorer.
    2. Browse through the files to the location of your .pst file (from above).
    3. Copy your .pst file to the location that you want.

    If you’re doing advanced troubleshooting or configuration of a Windows 10 application and need to locate the program’s EXE file in File Explorer, there’s a quick way to do it if you have access to a shortcut. Here’s how.

    First, locate a shortcut that points to the application whose EXE you need to find, because you will need to open its properties window. If the shortcut is on your desktop, right-click it and select “Properties.”

    No matter how you located the shortcut, a properties window will appear. Make sure you’re on the “Shortcut” tab, then click “Open File Location.”

    What you do next depends on what you’re trying to achieve. Just be careful in there—modifying or moving a program’s files can make it not work properly.

    If You Can’t Find a Shortcut to Use

    If a shortcut to the program whose EXE you want to find isn’t easily available, you can browse C:\Program Files or C:\Program Files (x86) on your machine to find the application’s main program folder. Look for a folder with a name similar to the publisher of the program, or the name of the application itself. Open it, and you might find the EXE you’re looking for inside. Good luck!

    Link to a File in a Word Document

    Open a file related to your document without having to stop what you’re doing and navigate to it each time. You can link right to it!

    With the Insert Hyperlink tool open, click Existing File or Web Page on the left.

    Below Look In, you can select Current Folder or Recent Files. But you can also use the drop-down list, Up One Folder, or Browse for File buttons to the right.

    After selecting the file from one of the above spots, you’ll see its exact location appear in the Address box. If this is the file you want, click OK.

    You’ll see your text linked as indicated by the blue underlined font. To open the file, hold your Control key and click the link.

    On Mac, pick Web Page or File, click Select to browse for and choose the file, and hit OK when you’re ready. You don’t have to hold the key to follow the link on Mac; just click it.

    Link to an Email in a Word Document

    If you link to an email address in the document, the user can then click the link, and a compose email window will open with their default email client or allow them to choose, depending on their platform.

    In the Insert Hyperlink tool, click E-mail Address on the left. Complete the E-mail address field or choose a Recently used e-mail address.

    Optionally, enter a Subject line which will prepopulate in the sender’s email. This can be helpful so that the recipient knows it’s related to this particular document or about a certain topic. Just note, the sender can change the subject line.

    Click OK.

    Like with the link to a file above, the user holds Control as they click the link to compose their email.

    On Mac, the fields for linking to an email are the same, and you can click the link in the text to compose the email.

    Link to a Location in a Word Document

    Linking to a spot in your Word document is also convenient. The options for this type of link are a bit limited, however. You can choose the top of the document, a heading, or a bookmark.

    In the Insert Hyperlink tool, click Place in This Document on the left. On the right, choose a document location. If you use headings, those will appear as selectable items. Click OK.

    And as you’ve probably already guessed, hold Control and click to follow the link.

    On Mac, select This Document, choose the location, and hit OK. Once more, you can click the link to follow it in Word on Mac.

    Searching for files by name and by the contents of the files on Windows 10 is a bit different from Windows 8. Keep reading to find out more about the changes.

    There are three distinct ways to search files on Windows:

    • File Explorer
    • Windows 8 methods of searching (two versions)
    • DOS command prompt

    Windows 10 has moved the File Explorer onto the Start Menu:

    However, you can get to it the same way you did on previous versions of Windows by right-clicking on the Start Menu icon.

    You type the name of the file for which you want to search in the search dialogue box at the top right. You need to be in the folder where you want to conduct the search. For example, to search the whole computer you go to the C: drive. To search only your documents, click Documents when you open File Explorer.

    This search will run slowly because the computer will also look on the Internet if you are using the Microsoft OneDrive or Google Docs.

    DOS Search
    Command-line techies can use the DOS command from 30 years ago. Add the /s option to search the directories recursively.

    Windows 8 Method Searches
    There are two Windows 8 method search options.

    Press Windows key + W for this search dialogue box.

    The screen shows file names that match what you entered. If you press Show All Results, it takes you to the Internet and shows the results from Bing.

    Press the Windows Key + C, and then select files below the option Everywhere to search the local hard drive for files both by their names and by the contents of the files. In other words, in the example below, it searches for the word “Afex” and any documents that contain the word “Afex.”

    Tip: To delete a font, open the Windows 10 fonts folder. Click the font you want to delete. To select more than one font at a time in Windows 10 explorer, press and hold down the Ctrl button while you click each font.

    2.) Copy a font eg install from another folder!

    Fonts are ordinary files with a specific extension. For fonts that support Windows 10, the .ttf extension is the TrueType font, and the .otf extension is OpenType. Sometimes a font can consist of several similar files that define the outline of the same font. Before you install a font on your system, you can see what the font looks like. After opening the file, just double-click on the file with the font to see what the font looks like and check if the font matches the font!

    3.) Create a Shortcut for Windows font Folder!

    To see the Windows 10 desktop, press the key combination Windows logo key + D.

    Click on an empty space on the Windows 10 desktop, right Mouse-Button. And select “New”, “shortcut”

    Now enter the full location path of the Font Directory: C:\Windows\Fonts (Optional: shell:fonts)

    Click the Button “Next”.

    If you are part-way through working on a document when due to circumstances outside your control (such as the computer crashing or a network problem), you are unable to continue, there is a danger that the changes you have made will have been lost. This can be very frustrating and lead to a lot of extra work.

    Of course, the best way to guard against this risk is to be in the habit of regularly saving your files while you are working (every 10 minutes is recommended).

    Fortunately many programs, such as Microsoft Word, have an in-built “auto-save” function that automatically backs up a copy of your work every few minutes. But AutoRecover does not replace regularly saving your files, you must still do this.

    In Word 2016, you can see how this is set up in the Options.

    1. Click on the File tab
    2. Under Options, click Save.
    3. Tick the Save AutoRecover information every check box.
    4. In the minutes box, type or select a number to determine how often you want to save files eg every 10 minutes
    5. Tick ‘Keep the last saved autoversion if I close without saving’ check box

    Shown below this is the AutoRecover file location which in this example is “N:\” – ie the individual N:drive for the user. These are the standard settings for users on IT Services computers. They mean that every 10 minutes, a copy of the work in progress will be automatically saved to the user’s N:drive.

    If Word is closed normally these auto recovery files are not saved.

    If the computer you are using crashes while you are working on a document, you will probably have lost some information, but you should be able to recover the last saved autoversion. In this example, that means that at most you will have lost 10 minutes worth of work.

    There are two ways to recover information. Firstly, if you are at the same computer you were using when the problem occurred and nobody else has used it in the meantime, then once you have been able to restart or log back on to the computer, open Word again. When you open it, Word will automatically check for any auto-saved files on the left-hand side of the screen. You can then click through them and choose any that you want to keep, using “Save As” to save a copy of the file.

    If you are not using the same computer, then you have to go to the file location where Word auto-saved the file. So in the example above, this would mean going to the “N:” drive.

    1. Click on Windows Explorer icon on the task bar
    2. Locate the”N:” drive
    3. Any automatically saved files will then be listed as .asd files

    Automatic versions of files do not end with “.docx” or “.doc” like normal Word documents – they end with “.asd” which stands for “auto-saved document”. The file name will be the same as the name of the file you were working on but with “AutoRecovery save of” at the start. So if the file you were working on was called “My New Word File.docx”, then the last auto-saved version would be called “AutoRecovery of My New Word File.asd”. You can open it simply by double-clicking on it – the file will open in Word as usual and you can then use “Save As” to save it to the right location.

    If no file is found you need to find the Autosave file and copy it to the location shown when Recover is used.

    These can be found via File, Open and clicking the Recover Unsaved Documents button found at the very bottom of the Recent File List.

    1. Open Word and select File, Options.
    2. In the Options dialog box select Save from the left hand menu.
    3. Note the AutoRecover files location.
    4. Open Windows Explorer/My Computer
    5. Click on the Organise dropdown.
    6. Select Folder and Search Options.
    7. Select the View tab.
    8. Remove the tick next to Hide Extensions for known file types.
    9. Click OK.
    10. Select the Show hidden files, folders and drives radio button.
    11. Move to the location found in step 3 above.
    12. Open the folder which has your document name (with %20 representing spaces).
    13. Copy the .asd file.
    14. Return to Word and click on File, Open
    15. Scroll down until you can see the Recover Unsaved Documents button and click it.
    16. Paste the copied file into the folder
    17. Open the file

In order to quickly find that file, open the application and open the list of recent files. In MS Office suite, you’ll be able to access recent files when you open the application. Or else, go to File, Open, and then, Recent Documents.

    2.Searching on Windows with partial file name

    If you had saved the file some days or months back and can remember the first letters of the file name, then you can go to Start in Windows and type those letters, then hit the search option. Most of the time, you’ll find the file.

    3.Searching with the help of extension type

    This method can yield that file location to you if you search by just typing in the file extension. For example, if your file was an MS Word document, hit enter after typing ‘.doc’ or ‘.docx’ in the search bar in File Explorer or, in case of it being an Excel file, search by ‘.xls’. Similarly ‘.mp4’, ‘.mp3’ etc.

    4.Searching with the help of Cortana

    One other way to search is to make use of Cortana. When searching specifically for documents, if you click Cortana icon in the taskbar, a list of your most recent activities can be seen under ‘Pick up where you left off’. You most recently saved files can be seen here. Or, click on ‘Documents’ under ‘Search for’ and type in the file name.

    I recently used the Office 365 Word application after about a year. Microsoft has made several small changes to Office 365 over the past year, and it’s better than ever in most ways.

    However, when you try to save a document, Microsoft Office shows the following dialog where your OneDrive account is selected by default. That is, OneDrive is the default document saving location. Although the dialog offers you to choose a location on your PC (offline location), it doesn’t allow you to set an offline location as default.

    It’s true that many users prefer to save their documents to the OneDrive these days, not all users want to save documents to the cloud storage. Saving your documents to OneDrive has its own perks, but most prefer to save documents offline.

    If you always save your documents on your PC, you might want to set a location on your PC as the default save location in Microsoft Office 365 applications.

    Luckily, Microsoft Office settings offer a provision to set a folder on your PC as the default location. It can be your Documents, Desktop, or any other folder on your PC. Here is how to do that.

    To ignore case distinctions employ the -i option as shown:

    Assuming there are several types of files in a directory you wish to search in, you can also specify the type of files to be searched for instance, by their extension using the –include option.

    This example instructs grep to only look through all .sh files.
