You can use the ‘Chat’ facility to send text chat to all participants or privately to specific participants.

Click on the ‘Chat’ icon in the tool bar, again hover your mouse over the Zoom window if you can’t see the tool bar.

A chat window will then open. Select ‘Everyone’ or the name of the person you wish to send a chat message to.

How to join a Zoom meeting: What are the requirements?

To join a Zoom meeting, a host first has to create a meeting and share the invite URL or meeting ID. You do not need a Zoom login to join a meeting, all you need is that meeting URL or ID.

Once the host starts the meeting, participants can join unless the host enabled the option allowing participants to join before the host arrives.

Alternatively, as we note below, you can sign up for Zoom with your contact info, and then your fellow Zoom users can use those details to ‘call’ you without an invite URL.

    on your Mac or PC.
  1. Open the Zoom app.
  2. Click join a meeting.
  3. Enter the meeting ID and your name, and set audio/video permissions.

  2. Open the Zoom app.

You don’t need to install any extra software to join or even host a Zoom meeting. You can do it all through a web browser.

  1. Click on the meeting invite URL that the host shared via email or text.
  2. A new tab will open on your preferred web browser. If you don’t have the Zoom desktop app installed, the page will urge you to download the app.
  3. Ignore that and skip down to the small print: “If you cannot download or run the application, join from your browser.”
  4. Click the highlighted text in “join from your browser”.
  5. Sign in with your name to join the meeting.

  1. Download the Zoom app for iOS or for Android on Google Play, and set it up using your contact information — which the host can use to “call” you. Then, either

Enable the chat feature auto attendant group for all members of your organization

  1. Sign in to the Zoom web portal as an administrator with permission to edit the account settings, [Account Settings] and then click.
  2. [Meeting] of the tab Auto Response Group in the chat] to move to the option, make sure that the setting is enabled.
    If the setting is invalid, click the status toggle to enable it. When the confirmation dialog is displayed , select [On] to confirm the change.
  1. (Optional) If you want this setting to be mandatory for all users in your account, click the lock icon and click Lock to check the setting.

If you want to set at the group level, [ Group Management ] from [Group] and the settings by clicking on the tab.

Note: If the option is grayed out, it is locked at the account level and needs to be changed at that level.

Set for myself

To enable the auto attendant group feature that you use, do the following:

  1. Sign in to the Zoom web portal , [Meeting Settings] and then click.
  2. Go to the Auto Answer Groups in Chat option on the Meetings tab and make sure the settings are enabled.
    If the setting is invalid, click the status toggle to enable it. When the confirmation dialog is displayed , select [On] to confirm the change.

Note: If the option is grayed out, it is locked at the group or account level and you will need to contact your Zoom administrator.

Add contacts to auto attendant group

Users who invite contacts must be members of the auto attendant group to automatically join the meeting when the Zoom client is invited. Follow the steps below to add a user to a group.

  • Sign in to the Zoom
  1. Click [Contact] .

Search for users (scroll or search) to add to the auto attendant chat group. Right-click the user and select Add to Auto Answer Group .

The new group appears in the list of contacts called Auto Answer Groups .

To join a meeting in Zoom, a host must first create a meeting and share a URL link, ID, and password to the meeting with you. You can join a Zoom meeting on a desktop computer either via a URL link or via Zoom Client.

How early you can enter a meeting depends on the host. The host has the option to enable participants to join as early as they like, even before the host joins. More often than not though, participants will have to wait for the host to allow them into the meeting.

1. In this instance, a host has sent you a URL link in an email invitation. The email will look similar to the one pictured.

A few minutes before the meeting is scheduled to begin, click on the URL link in blue indicated by the red arrow in the picture.

** The meeting ID and Passcode are included in your invitation. (See blue arrow) You may be prompted to use these to sign into the meeting.

2. After clicking on the URL link, your computer will prompt you to allow Zoom to launch on your browser. Click on the “open URL:Zoom Launcher.” If this prompt does not appear, click on the blue “launch meeting” button in the middle of the screen.

If the computer does not allow you to download or run the Zoom Client application, click on the “Join from your browser” option just below it.

3. The meeting host has the option of when to allow participants to enter. If the host has not yet allowed participants into the meeting, you will see a window informing you of this and asking you to test your audio while you wait.

If you do not have a Zoom account, you will be asked to give a name that will appear in the participants list. If you already have a Zoom account, you will be able to log in at this time. 4. It is a very good idea to go ahead and test your audio while you wait. After clicking the “test computer audio” button, a screen will appear like this next image.

Click the “test speaker” button indicated by the red arrow. You should hear a dinging or bells. If not, try raising the volume of your computer and pressing the button again.

To test your microphone, press the “test mic” button indicated by the green arrow. The button will change to “recording.” Speak a test phrase out loud. When you are done speaking press the button again. It will change to “playing.” You should hear yourself.

Troubleshooting Tip:

If either the speakers or the mic are not working, you may need to change the source of the sound. You can do this by changing the selection on the drop-down menus to the right of each.

If you have not tried using a headset with a mic yet, try connecting one to your computer and running the test again. Some computers have built-in microphones, but many do not.

5. Once the host has allowed participants into the meeting you will see a window similar to the next image. Depending on the number of participants & the host settings, the window may appear slightly different. Instead of your name, you may see the host’s presentation or the video of participants.

The icons are for the following:

Red Arrow: You may be automatically muted upon entering a meeting. If your mic has a red line through it, then you are muted. If not, click on the mic and it will mute. Likewise, click on the mic again to unmute. It is good Zoom etiquette to keep yourself muted unless you are the one speaking.

Blue Arrow: Like the mic, your video may be automatically turned off. You can control it my clicking on the camera icon. If your video is on, participants will be able to see whatever is in the view of your computer camera.

Green Arrow: This allows you to see how many people are participating in the meeting. By clicking on the icon, a side bar will open with the names of all participants.

Yellow Arrow: By clicking on the chat icon, a side bar will open that allows you to communicate with the host & participants without speaking out loud. When sending a chat, you can choose “everyone” or specific participants to chat with my using the drop-down menu.

Grey Arrow: Zoom allows participants to share content to the meeting window. If the host allows, participants can click this icon and then choose what files from their computer to share.

White Arrow: Depending on the host settings, you may find an option to record the meeting to your computer.

Orange Arrow: When you are ready to leave the meeting, click the red “leave” button. Another red “leave meeting” button will appear. Click this one and you are done!

Zoom Client allows participants to join meetings without downloading any plugins or software. It works similar to an app on a mobile device and does not require you to open an internet browser. It usually downloads automatically after you start/join your first Zoom meeting. If not, you can download the client by visiting https://zoom.us/download .

1. To join a meeting using Zoom Client, open the application on your computer. You will be prompted to either “join a meeting” or “sign in.” Signing in is not necessary to join a meeting unless you have an account already and would like your name to automatically appear. For directions on how to create a Zoom account, please refer to the article “How to Create a Zoom Account.”

2. After clicking “join a meeting”, you will be prompted to enter a meeting ID. This information must be provided to you by the host. If the host emailed the invitation to you, it would be located below the URL link. The meeting ID is usually a series of numbers.

After copy & pasting or typing the meeting ID into the space provided, click on the area for your name. You must provide a name to appear in the participants list for the meeting.

You can also choose to have your audio and video off upon entering the meeting by checking those boxes.

3. Once you have done this, click on the “join” button. You will now be asked to provide a meeting passcode. This passcode can be found right below the meeting ID on the invitation sent to you. You may not be able to copy and paste. As a security feature, the client may require you to type the passcode in.

From this point on, using the Zoom Client is the same as entering the meeting through the web browser. Please refer to steps 3 through 5 of the previous section.

If you want to join a Zoom meeting, but do not have a webcam or microphone for your computer, you can download the Zoom Mobile App and use your phone as a microphone/webcam.

Alternatively, you can dial into a Zoom meeting from your phone, which will allow you to be heard but not seen by others.

Zoom conferencing service has become a household verb in less than a year. There’s a good chance someone has said they were going to “zoom” you. But not everyone has a device with a great mic, can be on screen, or can connect to the Internet. Here’s how you can just dial into a Zoom meeting with your phone.

Dial-in By Phone and Zoom Free Basic Accounts

At the time of writing this, Zoom gave notice that “Due to increased demand, dial-in by phone audio conferencing capabilities may be temporarily removed from your free Basic account.”

What Zoom is literally saying is you might be able to dial into a Zoom meeting with a phone number or you might not. The dial-in feature might come back to the free account, or it might not.

If you’re a meeting host, review the different Zoom paid plans for one that ensures you’ll have dial-in access.

Dial Into a Zoom Meeting With a Phone Number

  • Once you’ve joined the meeting on your computer, the app will ask you to join the audio. If it doesn’t, select Join Audio
  • Select Phone Call. If the meeting host has the call-out add-on, you’ll also have the option of selecting Call Me.
  • There will be a flag icon. If it’s already showing your country, go to step 4, otherwise, select the flag drop-down menu and choose the country you’re calling in from. It will show you the numbers you can dial from your country.
  • Call any of the numbers shown. If a Toll-Free number is shown, call that to avoid long-distance charges.
  • Once the Zoom auto-attendant answers, enter the Meeting ID then #.
  • Now enter your Participant ID, then #.
  • If there’s a Passcode to join the meeting, enter that and then #.

  • Select Done to close this window.

How To Leave Zoom Computer Audio And Join By Phone

If you use Zoom regularly, you might have it set up to join the computer audio automatically. Or maybe you accidentally selected Join with Computer Audio. That’s alright. You can still switch to your phone.

  • Select the up arrow (^) on the Mute/Unmute button.
  • Select Leave Computer Audio. Now you can use the steps in the above section to dial-in.

You’re not at a computer, you don’t have the Zoom app on your phone, or you can’t use the Zoom app because you don’t want to use up your cell phone data. Maybe you just don’t like trying to look like you’re paying attention in a Zoom video call. That’s okay, you can simply dial into a Zoom meeting with your phone.

  • The meeting invitation will have the numbers you’ll use to call in. If there’s a Toll-Free number, use it to avoid long-distance charges.
  • The Zoom auto-attendant will answer and prompt you to enter the Meeting ID, then #.
  • If you’re the host of the Zoom meeting, enter your host key to start the meeting. If you’re dialing into someone else’s meeting, and the join before host feature isn’t enabled, press # to wait.
  • The Zoom auto-attendant will ask you to enter your Participant ID. Press # to skip. You only need to do this if you’ve already joined the meeting on a computer, app, or are a panelist in a webinar.
  • If the meeting invite included a Passcode, enter it and then #.

There are a few things to keep in mind when joining a zoom meeting by phone only.

  • You can join the meeting on a computer or through the app later. When you do, press # then enter your Participant ID, and press # again to link your phone audio to the video of your computer or app.
  • Joining the meeting might require a password specifically for joining by phone. It will be shown in the invitation below the Meeting ID.
  • Switch between Mute and Unmute by pressing star (*) 6.
  • To Raise Your Hand in the meeting, press star (*) 9

Join a Zoom Meeting Using an iPhone One-Tap Mobile Link

The host of the meeting may be able to add one-tap mobile links to their invitation. This only works for iPhones. If your host can do this, it’s the easiest way to dial-in with your phone. Simply tap the link in the invitation and your phone will call the number. If the host sets it up, the link may also automatically enter the Meeting ID and Password.

For hosts considering using the iPhone One-Tap mobile links, keep a few things in mind.

  • If the attendee’s e-mail only shows the plain text, this won’t work. They have to have HTML support enabled.
  • If your dial-in number supports multiple languages, the one-tap link won’t work because the auto-attendant wants to ask the attendee’s language preference. This can be skipped by adding 0# before the meeting number in the link, but then it just defaults to the first language offered to the attendee.
