In OneNote for the web, you can share notes with others in a couple of different ways, depending on your needs.

You can either invite others to view and make changes your notebook, or you can create a link to a page of notes that you can paste in an email, blog, or web page.

Note: Single notebook pages can’t be shared without the entire notebook being shared.

Invite others to view or co-author a notebook

In OneNote for the web, open the notebook you want to share.

Click File > Share > Share with People.

In the left column, under Share, make sure Invite people is selected.

In the To box, type the email address of the person you want to invite.

In the box below, type a brief note for the recipient so they have proper context for your invitation (for example: “Here is a link to my trip planning notebook. Feel free to add anything I’ve missed!”).

By default, recipients can make changes to the notebooks they’re invited to. If you only want them to view but not edit the contents of your notebook, click the blue Recipients can edit link to change the permission settings.

When you’re ready to send your notebook invitation, click Share.

Stop sharing a notebook

You can stop sharing a notebook.

In OneNote for the web, open the notebook which you want to stop sharing.

Click File > Share > Share with People.

On the left, click or tap the person’s name with whom the notebook is shared.

On the right, click or tap Can edit., and then click Stop sharing.

Stop receiving notebook change notifications

When a notebook is shared, email notifications are automatically sent when changes are made. You can stop receiving these email notifications.

Clear the check boxes for those notebooks for which you don’t want email notifications sent.

Create a notebook link to share with others

If you don’t have the email addresses of the people you want to invite to view or edit your notebooks, or if you don’t want to use email for this purpose, you can easily create a custom link that lets you share notes with others.

In OneNote for the web, open the notebook you want to share.

Click File > Share > Share with People.

On the left, under Share, click Get a link.

Copy and then paste this link wherever your intended audience (for example, your blog readers) can see and click it to gain access to your notebook.

Note: Anyone with the link address will be able to see your notebook. Be sure you’re comfortable sharing the contents before sharing the link.

Create a New Notebook in OneNote: Overview

You can easily create a new notebook in OneNote. You can have as many notebooks as you want in OneNote. For example, you might have one notebook for work and one for home. To create a new notebook in OneNote, click the “File” tab in the Ribbon to open Backstage View. Then click “New” at the left side of the screen. In the “New Notebook” section that appears to the right, you must first decide where to save the notebook. You must also decide if you want to share it.

To save the notebook to your OneDrive account, click the “OneDrive” choice. To save the notebook to your computer or network, click the “This PC” choice. Enter a name for the notebook into the “Notebook Name” field that appears to the right. When you click the “Create Notebook” button, you create and save the notebook into the default folder within OneDrive or your computer’s “OneNote Notebooks” folder in your “My Documents” folder in Windows.

To save it to another location, instead, click the “Create in a different folder” link to open a “Create New Workbook” dialog box. Use this dialog box to navigate to a new folder location. Then enter a name for the notebook into the “Notebook Name” field. Finally, click the “Create” button to create the notebook.

Alternatively, to save the notebook to a specific computer location, you can click the “Browse” command instead of the “OneDrive” or “This PC” command. Then click the “Browse” button that appears to the right to open the same “Create New Notebook” dialog box. Then use this dialog box to select a folder location and enter a name in the “Notebook Name” field. Finally, click the “Create” button to create a new notebook.

You can also click the “Add a Place” command to add a new place to which you frequently save notebooks, like a SharePoint site or OneDrive folder associated with an Office 365 or Microsoft User account. Click or tap to select your choice from the choices shown. Then log in using the desired user credentials to save the new location.

  1. To create a new notebook, click the “File” tab in the Ribbon to open the Backstage View.
  2. Click “New” in the menu on the left side of the screen.
  3. In the “New Notebook” section to the right, select to save the notebook to “OneDrive” or “This PC.”
  4. Enter a name for the notebook in the “Name” textbox.
  5. To create the notebook in the default folder in OneDrive or your computer’s “OneNote Notebooks” folder in “My Documents,” click the “Create Notebook” button.
  6. To save the notebook to a different location, click the “Create in a different folder” link or click the “Browse” button to the left, instead of “This PC” or “OneDrive.”
  7. Then click the “Browse” button that appears to the right to open the “Create New Notebook” dialog box.
  8. To create the notebook, use the dialog box to navigate to a new folder location.
  9. Then enter a name for the notebook into the “Notebook Name” field.
  10. Then click the “Create” button
  11. To create a new location to which you frequently save, click the “Add a Place” button and click or tap to select your choice from the choices shown.
  12. Then log in using the desired user credentials to save the new location.
