Microsoft Teams lets you tag users so that you can mention or chat with an entire group of people at once without typing everyone’s names. Here’s how to set up group tags and add as many coworkers to it as needed.

Mentioning people with an “@” is common in a lot of apps these days, whether it’s Slack, Discord, Microsoft Office, or many other apps. Teams is no exception to this, but now you can also create “tag groups” that let you add users and then mention that group to notify everyone in it without having to mention each individual name.

Let Everyone Create Tag Groups

By default, only the owner of a team can create a tag group, but any member of the team can add a user to a tag group. If you want your team members to be able to create tag groups, click the three-dot menu icon next to the Team name and then click the “Manage Team” button.

Tags in Microsoft Teams let users quickly and easily connect with a subset of people on a team. You can create and assign custom tags to categorize people based on attributes, such as role, project, skill, or location. Or, tags can be automatically assigned to people based on their schedule and shift information in the Shifts app. After a tag is added to one or multiple team members, it can be used in @mentions by anyone on the team in a channel post or to start a conversation with only those people who are assigned that tag.

As mentioned earlier, there are two kinds of tags in Teams.

  • Custom tags: Team owners and team members (if the feature is enabled for them) can manually create and assign tags to people. For example, a "Designer" or "Radiologist" tag will reach those sets of people on a team without having to type their names.
  • Tagging by shift: With this feature, people are automatically assigned tags that match their schedule and shift group name in the Shifts app in Teams. For example, the "EngineerOnCall" tag reaches all engineers who are scheduled in Shifts to work at the time the tag is used in a chat or channel post. With tagging by shift, Teams takes the guesswork out of knowing the name of on-shift staff when users need to quickly relay information. Tagging by shift can also be backed by major workforce management systems like JDA, Kronos, and AMiON by integrating them with Shifts in Teams. Tags are not supported in private or shared channels.

How tags work

A tag can be manually added or automatically assigned to a person on a specific team. It can then be used in @mentions on the To line in a chat or in a post on any standard channel of the team. Here’s some examples of how tags can be used in Teams:

  • A store manager posts an announcement to a channel to notify all cashiers.
  • A hospital administrator sends a message to all radiologists in a channel.
  • A marketing manager starts a group chat with all designers.
  • A nurse sends a message to all on-call cardiologists. (coming soon)
  • A system engineer posts an announcement to a channel to notify all on-shift field engineers. (coming soon)

When a tag is @mentioned in a channel conversation, team members associated with the tag will get notified, just like any other @mention .

Manage custom tags for your organization

As an admin, you can control how tags are used across your organization in the Microsoft Teams admin center. Currently, you can’t use PowerShell to manage tags.

A team can have up to 100 tags, up to 100 team members can be assigned to a tag, and up to 25 tags can be assigned to a single user.

Set who can add custom tags

By default, team owners can add custom tags. You can change this setting to allow team owners and team members to create, edit, delete, and manage tags or you can turn off tags for your organization.

In the left navigation of the Microsoft Teams admin center, click Org-wide settings > Teams settings.

Under Tagging, next to Tags are managed by, select one of the following options:

  • Team owners and members: Allow team owners and members to manage tags.
  • Team owners: Allow team owners to manage tags.
  • Disabled: Turn off tags.

Configure custom tags settings

You can configure the following tags settings to control how custom tags are used across your organization.

In the left navigation of the Microsoft Teams admin center, click Org-wide settings > Teams settings.

Under Tagging, set the following, depending on the needs of your organization.

  • Let team owners override who can manage tags: When you turn on this setting, team owners can set whether team members can create and manage tags within a team and the value of the Tags are managed by setting is the default value for each team. If you turn off this setting, the Tags are managed by setting can’t be changed per team.
  • Suggested default tags: Use this to add a set of default tags. You can add up to 25 tags, and each tag can contain a maximum of 25 characters. Team owners and members (if the feature is enabled for them) can use these suggestions, add to them, or create a new set of tags.
  • Let custom tags be created: Turn on this setting to let people add tags other than the suggested default tags that you set. If this is turned off, people can only use the suggested default tags. If you turn this off, make sure that you add one or more default tags.

Manage custom tags settings for a team

If you turned on the Let team owners override who can manage tags setting in the Microsoft Teams admin center, team owners can set whether members can add tags at the team level. To do this, on the Settings tab for a team, go to Tags, and then choose who can add tags.

Two Types of Tags

Custom Tags

Team owners and members can create custom tags and assign them to users. For example, a “Manager” tag based on a role will call all the managers without mentioning their names one by one. As mentioned above, custom tags can be created based on various categories.

Tagging by Shift

In this type of tagging, members are automatically tagged based on their schedule and shift in the Shift app integrated into Teams. For example, a user or group of users working on standby or the same shift can be tagged as “SupportOnCall.” This tag can be used to call their attention in the chat when the need arises.

With this, you no longer need to guess or know the names of available staff; this automatic tagging will alert the specific tagged users. Tagging by shift also supports other workforce management systems such as like JDA, Kronos, and AMiON by integrating them with Shifts in Microsoft Teams. How to Manage Custom Tags for Your Organization

How to Use These Tags

Once tags have been created and configured, it’s time to use them. There are two ways these tags can be used – in channels or in chat.

  1. @Mention in a Channel – In a channel conversation, simply @mention a tag in your message and select the tag from the list. The tag will appear just like any @mention, and the people under the chosen tag will get notified.
  1. Using tags in a chat – Click on a new chat and start typing the name of the tag. Choose the tag you want to use and it will be added to the recipient. All the members under the chosen tag group will now receive your chat.

Channel @mentions

Channel @mentions and Team @mentions are similar, however, with Channel @mentions it depends on the notification settings set by individuals whether they’ll receive the notification or not.

To edit these notifications, select on the Channel ellipses and then Channel notifications.

To create your Team @mention search @team or @ followed by the team name.

Team @mentions can’t be muted like Channel @mentions so use these for your important announcements.

If you use the Team @mention daily, members might start to regard your message as spam before they’ve read the message. Meaning important messages might go unnoticed.

You can also restrict the team @mention so only team owners can use it.

To do this, Team owners can go to the ellipses next to the Team they’d like to manage and select Manage team.

Tags in Microsoft Teams allows you to quickly and easily notify a group of people within a Team without notifying everyone in the Team using @mentions. A good example of this is if you had a Project Team, and within that Project Team you had 5 Project Managers, 6 consultants and a few managers and you wanted to send an update that was relevant to the Project Managers only, without notifying everyone.

To start, you need to be the owner of the Team. Click on the 3 dots next to the team, then manage tags.

From here you can give your tag a name and add people. Anyone you add will be notified when you @mention this tag. You can have up to 100 team members assigned to a tag if required.

A team can have up to 100 tags, up to 100 team members can be assigned to a tag, and up to 25 tags can be assigned to a single user.

Microsoft have some great examples of Tagging use cases in Microsoft Teams:

You can create tags to quickly communicate with particular team members in Microsoft’s Teams collaboration suite, but the menu items can be tricky to find.

Microsoft seems to have thought of everything when it comes to its Teams collaboration app; unfortunately, that means there’s a lot packed into a relatively simple interface. Some items are located in difficult to find places, and this includes the tagging function team owners can use to create small groups of people inside of teams for easier communication.

Tags can be created for particular projects, sub teams inside particular departments, or any other group that needs to communicate easily through a simple “at” mention in the Microsoft Teams chat window. There are a few tricks to knowing how to use tags in Microsoft Teams–once you have it down, though, it’s easy.

To start, you’ll need to figure out if you have the ability to create tags in Microsoft Teams. For individuals or small business Microsoft Teams leaders, this is something you can set inside the Teams app. If you’re using Microsoft Teams in an enterprise, you’ll need to contact a Teams admin to make this change in the Teams Admin Center, which is a cloud-based administrator console.

Assuming you’re an individual user or are otherwise using Microsoft Teams free, go to the Teams tab and click the three dots that appear to the right of the team name you want to create a tag in (Figure A). In the menu that opens, click Manage Team.

This will open another menu–click Settings, which should be the third item from the left. In the Team Management Settings tab (Figure B), select the Choose Who Can Add Tags field, and you’ll see whether it’s restricted to team owners or members.

If you’re a team owner and you want to create tags in Microsoft Teams, you’re all set. If you want your team members to be able to create additional tags, you can toggle this option. If you’re a team member who needs to create a tag, you’ll need to ask the owner to create it or let you do so yourself (Figure C).

Now that you’re set to create a tag in Microsoft Teams it’s time to do just that. Let’s return to the menu in Figure A, where you likely saw Manage Tags at the bottom. Select Manage Tags, and you’ll see either a list of existing tags or a window prompting you to create your first tag (Figure D).

Click through and you’ll see the screen shown in Figure E, where I’ve already named my tag and added myself to it. You have to add at least one person to the tag in order to create it—if you don’t, the Create option will be greyed out.

You can add additional people to the tag now, but I encountered a problem when trying to do so. I have a couple of my email addresses set up with Microsoft Teams accounts, and both are in the test team I’ve been using to write TechRepublic tutorials. Microsoft Teams wouldn’t find my other address when I tried to add my other account as an additional member to the tag; fortunately, there’s a workaround.

To add additional people to a tag you created, return to the Manage Team window shown in Figure B, but click the first tab labeled Members (Figure F).

You can see that me, and the other me, are both in the team; and, my account that is the team owner is a member of the Important project tag, and the account that is just a member isn’t.

If you mouse over the empty space where tags would be listed next to a team member, you’ll see a tag icon appear–this is where you can add users to tags, as shown in Figure F.

Click the tag and a small window will appear with a list of tags that the person can be added to (Figure G). Check the box next to the tag(s) you want to add to that person, click Apply, and that’s it—they’re now added to the tag.

Removing people from tags is tricky, too—I couldn’t find a way to simply delete a tag outright. It’s possible to delete tags, but you have to go through each person in the tag as in Figure H and uncheck the box of the tag you want to delete. Tags can support up to 100 users in Microsoft Teams, so this could be hugely inconvenient if you want to get rid of a tag after a project is completed.

As for using tags, that’s the simplest part: Switch over to the Teams tab where you can post chat messages and discussion items. In the field for typing your message, start with an @ and then start typing the name of the tag you want to message (Figure H).

Select the tag you want, type your message, and send it. Every person who is a member of the tag will be notified, and no one else will see the message (Figure I). Mobile Teams users will also get notifications on their smartphone or tablet, so ideally there’s no way a tag member will miss an important meeting or announcement.

With Tags in Teams, we can solve this problem by creating and applying specific tags to users and groups of users, so that they can all be contacted quickly and efficiently.

Creating a Tag

From the Teams tab, select the ellipse (…) beside your Team, and chose “Manage Tags” from the dropdown.

From here, you can see all Tags that have been created, edit them, and add a new Tag. Just click “Create Tag” to get started.

Important Notes

Tags are only accessible to people who are members of the Team where the tag was created.

At the time of this article, there is currently a limit of 100 tags per Team and 100 members per tag. Each user can be assigned a maximum of 25 tags.

APIs for managing Microsoft Team team tags and tag members are currently available in Microsoft Graph beta endpoint. Support for tags is also available in Microsoft Graph PowerShell SDK. In this blog post, I will cover how to manage team tags with the Graph PowerShell SDK.

What are team tags?

Tags help reach out to a group of people based on their attributes, like roles, projects, skills, location, and so on, for example, “Project Manager” or “Kuopio”. A tag can be used as a mention, and everyone assigned to that specific tag will receive a notification. A tag can be also used to invite a group of people to a chat. A user can belong to multiple tags and each tag can have maximum of 100 members. Guest user can be also added as tag members.

Preparations and Connecting to Graph

Since the teamworkTag endpoint only supports application authentication, the first thing is to register a new Azure AD application for your tenant (Quick Start Guide: https://docs.microsoft.com/en-us/azure/active-directory/develop/quickstart-register-app). Note that Graph PowerShell SDK supports only certificate authentication, so a certificate is required for authentication. A self-signed certificate can be created with PowerShell (use only for development and testing).

Upload the certificate to the newly registered Azure AD app.

The app requires TeamworkTag.ReadWrite.All Graph API permission for creating and managing tags.

For connecting Graph with application permissions, ClientID, Tenant ID, and Certificate Thumbprint are required. Client ID and Tenant ID can be found on the Overview page of the registered Azure AD application. Certificate thumbprint is visible on the Certificates & secrets page or, if the same PowerShell session is used thumbprint can be fetched from the $cert variable.

Since tag management is only available in Graph API beta, beta profile needs to be selected on Graph SDK.

Create a New Tag

New tag is created with New-MgTeamTag cmdlet. One members is required when new tag is created, cmdlet requires an Azure AD Object Id of the user.

All tags of the specified team can be listed with Get-MgTeamTag cmdlet.

Adding new members to the tag is done with New-MgTeamTagMember cmdlet. User is referenced with Azure AD Object Id.

And a user is removed from a tag with Remove-MgTeamTagMember cmdlet where the user is referenced with tag member id.

Getting user’s AAD Object Id with Graph SDK

Since the user’s AAD Object Id is required, when the user is added as a member to a tag, here is how to get the object id using the user’s email address. For this, User.Read.All permission needs to be added to the Azure AD Registered application.

Afterword

Using Microsoft Graph PowerShell SDK in a real-world scenario, where some guest users needed to be invited and added to team tags, worked well. Using Graph API enables to use of just one PowerShell module, rather than using several for different functions. When working with this module it is required also to read Microsoft Graph API documentation for specific permission of different functions. Also, read carefully the documentation about Graph PowerShell SDK, since tag management is in beta, there might be changes when moving to v1.0.

Here’s the steps you need to take to add (and manage) tags in Microsoft Teams.

1. Select Teams from the left side of the Microsoft Teams desktop app and find your team on the list.
2. Select the three-dot menu to the right of the channel name to see more options.
3. Select Manage tabs to create and assign tags to people in Microsoft Teams.

Using tags in Microsoft Teams allows you to mention of group of people all at once. By using tags, you no longer have to mention individual names, you can group several people under the same tag to notify them as a group. You can group people together based on their job role, location, or department.

Once you add a tag, just use the @tag_name in a channel in Microsoft Teams. Everyone assigned a tag will receive a notification the same as if they are @mentioned directly. Another way you can use a tag is to start a new chat and select the tag that includes the people that you want to reach.

Not just anyone can create and manage tags in Microsoft Teams. If you want to add and manage tags, you need to be a team owner in Microsoft Teams. If you are unable to add or manage tags, your organization might not have the feature enabled in Microsoft Teams yet.

If tags are enabled and you are not a team owner, you can still view the tags that have been assigned to you and other team members. Even though you are not the team owner, you can still use tag names to alert groups within your organization in channel conversations.

Here are the steps you need to take to add and manage tags in Microsoft Teams.

  1. Select Teams from the left side of the Microsoft Teams desktop app and find your team on the list.
  2. Select the three-dot menu to the right of the channel name to see more options.

Now, you can add and assign tags to people within your organization. For example, you can label the group “Leadership” and add people that work within that specific department in your organization. Tap Create when you are finished adding people to a specific tag name.

Use the @tag_name as you would for any other @mention in Microsoft Teams. In a channel conversation, use @tag_name to alert all the people assigned to the tag. Microsoft Teams will offer suggestions for which tag to send the message to based on what you type.

If you want to chat with a group assigned to a tag, all you need to do is use the @tag_name. Instead of using @mentions for individual names, you can use the @tag_name to mention everyone assigned to the tag. Use the tag name in the same way you would start a new chat with an individual in Microsoft Teams.

Only team owners can choose which users can add and manage tags. Here’s what you need to do to manage your team owner settings in Microsoft Teams.

  1. Select Teams on the left side of the desktop app and choose your preferred team channel.
  2. Select the three-dot menu and select Manage team.
  3. Select the Settings tab.
  4. Scroll down to the Tags section.

Here, team owners can change the tag settings to allow only team owners or all team members to add tags in Microsoft Teams.

Microsoft Teams admins can further modify the tag settings for team owners and team members in your organization. In Microsoft Teams, you can have a total of 100 tags with up to 100 team members added to a single tag in Microsoft Teams. Up to 25 different tags can be assigned to an single team member.

Furthermore, Microsoft Teams admins can allow team owners to override who can apply tags, add addition tags, and use up to 25 suggested default tags in Microsoft Teams. Each tag name can contain a maximum of 25 characters. Depending on if the feature is turned on, team owners and team members can use these suggested tags, modify the tag names, or create a new set of tags.

We can manage tag settings for the entire tenant from Microsoft Teams Admin Center → Org-wide settings → Teams settings → Tagging.

In this setting, we can decide who can add tags and it has the following settings.

  1. Team owners and members: Team owners and members can add tags
  2. Team owners: Only Teams owners can add tags
  3. Disabled: Turn off the Tags for the entire tenant.

Here, we can add a suggested default tags to use in the Teams, we can create a minimum 25 default tag with each 25 characters. Team owners and members can use these suggested default tags or create a new set of tags.

• It is not supported in the private channel.
• Tags are not available in the US Government Community Cloud, Gcc High, Department of Defence organization.

Getting a Mention Token

First, let’s create a Mention token. Let’s see how –

This new team will include the assigned consultants; project manager(s); salespeople and, depending on the project, may also include several “C-Level” people. Naturally, the bigger the project, the more people in the team. This is where tags in Microsoft Teams come into play.

Despite the number of team members, most of the communications that take place within the team are typically only pertinent to the consultants. In the past, if I needed all five or six of those consultants to know something but didn’t want to disturb everyone else, I had to @-mention each one individually.

Recently, I discovered the “ tags ” feature of Microsoft Teams. Using tags, you can create a mentionable alias for a subset of the members of a team.

Once clicked, you’re presented with the option to add or manage tags. To add a new tag, simply give it a name and assign the members you want to group together. In the screenshot, you can see that we’ve created a “developers” tag that is used to mention all of the developers on this particular project with a single mention.
