How to zoom in and out of a word document

You can zoom in to get a close-up view of your file or zoom out to see more of the page at a reduced size. You can also save a particular zoom setting.

Quickly zoom in or out

On the status bar of your Office app, click the zoom slider.

Slide to the percentage zoom setting that you want. Click or + to zoom in gradual increments.

Note: In Outlook, the zoom slider zooms only the content in the Reading Pane.

Note: This procedure isn’t available in Excel for the web. As a workaround, consider opening the file in Excel Desktop to change the setting.

You can choose how much of a document, presentation, or worksheet you view on the screen.

Do one of the following:

On the View tab, in the Zoom group, click Zoom 100%. This returns the view to 100% zoom.

On the View tab, in the Zoom group, click One Page, Multiple Pages, or Page Width.

In PowerPoint

Word doesn’t save zoom settings in documents. Instead, it opens a document at the last zoom level you used.

Excel for the web doesn’t support saving the zoom level, because the View tab doesn’t have a Zoom group, so you must use the status bar to change the zoom level. As a workaround, consider opening the file in Excel Desktop to save the zoom level using the following procedure.

Open the presentation or worksheet that you want to save with a particular zoom setting.

On the View tab, in the Zoom group, click Zoom.

Choose the setting that you want.

Click Save.

Keyboard shortcut: Ctrl+S

In Word, Outlook, PowerPoint or Excel, on the status bar, click the zoom slider .

To save a particular zoom setting with your document or template so that it always opens with that zoom setting, you must make a change in the document or template first. That can be as simple as adding and deleting one character (or a single space).

Open the document or template that you want to save with a particular zoom setting.

On the View tab, in the Zoom group, click Zoom.

Choose the setting that you want.

Add and delete a single character in the document or template.

Click Save.

In PowerPoint or Excel

Open the presentation or worksheet that you want to save with a particular zoom setting.

In this chapter, we will discuss how to zoom in and zoom out in Word 2010. Microsoft Word provides a functionality to apply zoom-in and zoom-out operations on a document. When we apply the zoom-in operation, it enlarges the size of text whereas applying the zoom-out operation reduces the size of text.

A zoom operation just changes the size of the font on-screen without impacting any other attribute of the document. You can apply the zoom operation in various ways as explained in this chapter.

Zoom-in & Zoom-out using view tab

Here is the simple procedure to apply the zoom-in or the zoom-out operations using the View tab −

Step 1 − Click the View tab and then click the Zoom button as shown below.

Step 2 − When you click the Zoom button, a Zoom dialog box will appear as shown below. This will display the zoom options box to select a value to reduce or increase the size of the document on-screen. By default, it will be 100%; you can select 200% to increase the size of the font or 75% to reduce the size of the font.

You can click the Many pages down arrow and select to display multiple pages.

Step 3 − Once you are done with selecting an option, click OK to apply the changes on the document.

Step 4 − Try different options available, for example Page Width and Text Width.

Zoom-in & Zoom-out using (+) and (-) Buttons

The following screenshot shows two buttons Zoom-out which is the (-) button and Zoom-in which is the (+) button.

Step 1 − Click the Zoom-out button, you will find that your document size will decrease by 10% each time you click the button. Similar way, if you click on Zoom-in button your document size will increase by 10% each time you click the button.

Step 2 − Try this simple operation with different values to see the difference. The above screenshot shows 140% zoom-in view of the document.

How to zoom in and out of a word document

You can easily zoom a document in Word to change its magnification level by using the Zoom slider. The Zoom slider appears in the lower-right corner of the application window. You can click and drag the slider left, towards the minus symbol (-), to shrink the magnification level. The magnification level is the percentage which appears to the right of the zoom slider. You can click and drag the slider to the right, or towards the plus sign (+), to increase the magnification level. Alternatively, click the “+” or “-” symbols next to the Zoom slider to increase or decrease the magnification.

If you increase the document magnification to the point that you can no longer fully view the document, horizontally, then the horizontal scroll bar appears at the bottom of the document. This lets you scroll left and right to fully inspect the document at your desired magnification level.

Some basic zoom settings also appear on the “View” tab of the Ribbon within the “Zoom” button group. Here, you can set the zoom to “100%” by clicking the button of the same name. You can also quickly view “One Page,” “Multiple Pages” or the full “Page Width,” by clicking the buttons of the same names.

Additionally, the “Zoom” dialog box lets you precisely zoom a document in Word. To access this dialog box, click the actual zoom magnification level in the Status Bar. Alternatively, click the “View” tab in the Ribbon. Then click the “Zoom” button in the “Zoom” button group.

In the “Zoom” dialog box, you can select a zoom level by choosing an option from the “Zoom to” section. Alternatively, you can enter a specific value into the “Percent:” spinner box.

If you want to display multiple pages at a time, click the “Many pages:” icon below the option button. Then choose how many pages to display. Your options range from “1 x 1 Pages” to “2 x 4 Pages” to show at once. A preview of the display appears below your setting options. After setting your desired magnification level, click the “OK” button to apply the changes to the document.

Instructions on How to Zoom a Document in Word

  1. To zoom a document in Word by using the Zoom slider in the Status Bar, click and drag the slider bar to the left or right to decrease or increase the magnification.
  2. Alternatively, click the “+” or “-” symbols next to the Zoom slider to increase or decrease the magnification.
  3. To zoom a document in Word by using the buttons in the “Zoom” button group, click the “View” tab in the Ribbon and then look within the “Zoom” button group.
  4. To set the document zoom to 100%, click the “100%” button in the “Zoom” button group on the “View” tab of the Ribbon.
  5. If you want to quickly change the view between “One Page,” “Multiple Pages,” or the full “Page Width,” then click one of the buttons of the same names in the “Zoom” button group on the “View” tab of the Ribbon.
  6. To zoom a document in Word by using the “Zoom” dialog box, click the “Zoom” button in the “Zoom” button group on the “View” tab of the Ribbon.
  7. Then select the desired zoom level by choosing an option from the “Zoom to” section or by entering a specific value into the “Percent:” spinner box.
  8. To choose to display multiple pages at a time, click the “Many pages:” icon below the option button and then choose how many pages to display
  9. Then click “OK” to save and apply the changes you made in the “Zoom” dialog box.

Generally, Word displays the document zoom level at 100%. This is a broadly accepted setting. However, situation varies from case to case. Let’s say, you have certain requirements for document font, such as the size, yet you just want things look bigger on your screen. Then altering the zoom level shall be helpful. Or sometimes due to different monitors, larger zoom level is required.

Now the question is how can we have a fixed zoom level at what we want for Word document instead of the default 100%? It will be much more convenient.

Below are 2 methods to accomplish this task.

Method 1: Modify Zoom Level for Future Documents

  1. Firstly, open Word to create a new document.
  2. Then click “View” tab.

  4. In “Zoom” dialog box open, you can either choose a value in “Zoom to” part or input a specific value in the “Percent” spin box.

Now, the zoom level of the document you just create will change to the value you choose, and so do all future documents.

Note: When you open Word next time, the default zoom level should be different. By the way, the documents you created before shall remain in the original default level.

Method 2: Change Zoom Level for Previous Documents

As we’ve mentioned above, method 1 only affect new files created after the setting. Then what about those previous documents? Method 2 is architecture to solve this problem. The solution is to use VBA codes to work the magic.

  1. To begin with, open an existing file.
  2. Then press “Alt+ F11” to open the VBA editor.
  3. In the VBA editor, click “ThisDocument” under “Normal” project on the left.
  4. Next, click “Insert”.
  5. Then choose to click “Module” on the list.
  6. Now double click the new module to open the editing area on the right side, and paste the following codes there:

Note: The value “125” in the codes refers to the zoom level, so you can choose whatever number you like. Moreover, the setting will not change the default zoom level of future files.

You can simply drag the horizontal slider in the bottom-right corner of your display toward the left and the minus sign to decrease page size or drag the slider to the right toward the plus sign to increase it.

And you can customize the option to display pages in a number of different formations, such as 1×4 (one document’s height by four documents’ width, to fit your display), 1×3, 1×2 and 1×1, or 2×4 (two rows of documents high by four documents’ width, to fit your display), 2×3, 2×2 and 2×1.

To enable the Many pages setting and pick your formation, select the circle next to the option and then click the icon (it looks like an old cathode-ray display) in the Zoom settings pop-up box. Another overlay will appear that lets you pick your preferred formation.

To disable any of the view options listed above, simply change your zoom percentage using the slide at the bottom right of your Word screen or the Zoom box in Words’ View tab.

If you do not want to waste too much time on learning the Ribbon of Word 2007/2010/2013/2016/2019 after upgrading to Word 2007, 2010 or 2013, you should try Classic Menu for Office. Classic Menu for Office will make Word 2007/2010/2013/2016/2019 look like Word 2003/XP(2002)/2000.

Method A: Zoom feature in old View menu with Classic Menu

You will find the Zoom feature In the View drop down menu under Menus tab, just as the same procedure as you did in Word 2003/XP(2002)/2000. There are five options in the Zoom item’s sub-list: Zoom, 100%, One Page, Two Page, and Page Width. See screen shot (Figure 1):

  • Click the View tab;
  • Go to Zoom group;

Method D: Zoom feature in status bar

The easiest method is that you can directly access the Zoom feature in Word status bar of 2007/2010/2013. See screen shot (Figure 3). It is quite easy to zoom in or zoom out your documents by moving the slider.

Clicking on Multiple Pages displays two pages of your document side by side. To increase the number of pages displayed, click the Zoom button, located under View.

How to Customize the Zoom Setting of Your Office Program’s Screen

If the text or objects in Microsoft Office programs appear too large or too small, customize the zoom settings to your preferences. You can change the zoom level for a document or adjust the default zoom for every new file you create. These features vary according to the program and operating system (desktop, mobile, or web). Still, this list of solutions should help you find a solution.

Select the View tab.

Select Zoom in the Zoom group.

Choose the percentage to which you want to zoom. Alternatively, select Page Width, Text Width, or Whole Page.

Another option is the Zoom slider in the lower-right corner of the window. Use it by clicking or dragging the slider.

You can also use a shortcut command. Hold down Ctrl, then scroll up or down with the mouse. If you don’t want to use a mouse, type the keyboard shortcut Alt+V. When the View dialog box appears, press the letter Z to show the Zoom dialog box. To make customizations, press Tab until you get to the Percentage box, then type the zoom percentage with the keyboard.

You can create a macro for zooming Office documents or make changes to the template in some programs. This option can be technical. However, it may be worth it to go through those steps if you have some extra time.

There are several ways to change how a document’s contents are displayed on the screen using the preset document views. You can also zoom in or out to view more or less of the page at a time and view multiple documents at once.

Change Document Views

  1. Click the View tab.
  2. Select a view:
    • Read Mode only shows necessary toolbars, making room for enlarged text and navigational tools. This view is read-only, so you won’t be able to make edits.
    • Print Layout view displays your document as it will appear when printed. It’s best for working in documents with advanced formatting.
    • Web Layout view shows backgrounds, wraps text to fit inside the window, and positions graphics just as they are in a web browser.
    • Outline view displays your document in classic outline form.
    • Draft view works well for most simple word-processing tasks, such as typing, editing, and simple formatting. Does not display advanced formatting, such as page boundaries, headers and footers, or floating pictures.

You can quickly access Read Mode, Print Layout, and Web Layout views from the View buttons in the status bar.

Sometimes it is helpful to make a document appear larger on the computer’s screen, especially if you have a small monitor or poor eyesight. It can also be helpful to zoom out so that you can see how the whole document looks.

Every document is filled with hidden formatting symbols that help control how the text is laid out on the page. New paragraphs, carriage returns, tabs, spaces, and page breaks can be seen, selected, moved, and deleted.

There was a point in the not-too-distant past where monitors were not nearly as high-resolution as they are now. While higher resolutions have enhanced the computing experience for the majority of people, not everything is for the better.

With more displayed at once, programs like Microsoft Word often attempt to make things “better.” Depending on who you ask, these changes aren’t always an improvement. Just like changing to the Ribbon UI, displaying two pages at once on high-resolution displays has been controversial. Many people want to display one page at a time in Microsoft Word instead.

Luckily, it is possible to change things to suit your own preferences.

1. Change the View Layout

1. Move across the Ribbon UI to the “View” options.

2. The first three buttons on the left include “Read Layout,” “Print Layout” and “Web Layout,” with Print showing the document across virtual A4 pages. Select Web Layout.

3. The change should be apparent, as the document is no longer parsed into virtual pages, and it will run for the entire width of the window.

4. Change back to “Print Layout.” For whatever reason, this will display the document one page at a time. It’s a simple, yet effective way to display one page at a time in Microsoft Word.

2. Change the Zoom Level

1. Observe the zoom level in the lower-right corner of the Word window. Click the zoom percentage, and another window will appear providing a few more options.

2. You can choose a variety of zoom options, but “Many Pages” on the right and the button below it should attract the most attention.

3. Click to expand the button below it and select an option; 1×1 and 1×2 show one page or two pages at a time respectively.

4. Once you’ve done this, you’ll see that Word’s zoom level is going to change. Go back to the left and change it to 100%. Confirm this change.

5. If the document is not already two or more pages long, such as what happens when you open Word to try this, add another page with Ctrl + Enter . It should either appear alongside the existing page or below it, depending on what you chose.

If you’re using the online version of Microsoft Word, this is the best way to display one page at a time in Microsoft Word. The web version doesn’t have the same view options as the desktop version. The good news is Word usually defaults to the Web View anyway since you’re using it online, which typically gets rid of this issue automatically.

If you’re just looking through a document, you can also set “Read Mode” or “Reading View” to set pages to scroll versus being side by side.

We are all used to presenting using PowerPoint in a classroom, but presenting using Zoom screen sharing can be difficult because both PowerPoint and Zoom would like to take over the entire screen, making it hard to get to other notes, diagrams, etc. that you would like to use or share. By default, PowerPoint wants to fill up the whole screen with your presentation, so you can’t access any other apps, which is troublesome. To avoid this:

This problem occurs at the other end as well, where folks are viewing a presentation via Zoom. By default, when someone is screen sharing, Zoom takes over the entire screen, to maximize the resolution of what’s being displayed, but it can make it hard for participants to get to any other materials on their computer. Zoom allows folks viewing a screen share to get out of Full Screen mode. Share this with your students.

While you can’t export your document as a picture file, there are several ways to do it, nevertheless. All of them are free and straightforward, so you can use any that is most convenient for you.

Every one of the approaches described has its advantages and drawbacks. If you need to convert a single page to JPG or GIF, using Print Screen and Microsoft Paint or Paste Special is the quickest way to do it.

However, if you work with multiple pages, there are better solutions. We recommend saving the documents as PDF before converting them using a third-party app on Windows or Preview tool. Alternatively, you can turn to online converters.

Walter’s screen shows two pages of his document, side by side. He only wants one page the full width of the screen, but he’s not sure how to change that.

As you adjust the zoom settings used by Word, you may notice that Word automatically displays multiple pages of your document at the same time. This is especially true if you are using a widescreen monitor at a high resolution. In that case, as you get your zoom factor down to near 50%, Word automatically switches to display two pages.

There are a few ways that you can get back to a single page. The first thing you’ll want to do, however, is to make sure you are not using one of Word’s non-standard views. For instance, if you are in Full Screen Reading view, it can affect what is on your screen. Try pressing the Esc key, using the tools in the Document Views group on the View tab of the ribbon, or use the view icons on the Status bar to return to a regular view, such as Draft or Print Layout.

One easy way to display just a single page is to simply “zoom out” a bit by holding down the Ctrl key as you move the scroll wheel on your mouse. As you zoom in and Word discovers that it can no longer display two pages on the screen, it should switch automatically to show only a single page.

Another approach is to use the tools on the View tab of the ribbon. In the Zoom group, click the One Page tool and you should immediately see only a single page displayed on the screen. You can also click the Zoom tool to display the Zoom dialog box. (See Figure 1.)

Select the Page Width radio button and click OK. Word calculates the proper zoom percentage to show a single page at the width available on your screen. If you prefer, you can click one of the other single-page options—Whole Page or Text Width. (Pick the one that gives you the appearance you desire.)

If you are reading this, you probably are running Microsoft Office Word program on a PC with a high-resolution widescreen monitor.

On a PC with a high-resolution widescreen monitor, the Word program automatically shows multiple pages of a document side-by-side at the same time. For instance, on my 24” 4k resolution monitor, Word displays two pages side-by-side by default.

Needless to say, that this happens only when the document consists of more than a page.

Although this is a nice feature to have as you can simultaneously view two pages side-by-side, many users find it a distraction.

Most users, including me, would like to see just one page of a document at a time, especially while composing or editing a document. Having only one page on the screen at a time helps you focus better. Besides that, many users switch to the Focus mode in Word program while editing, which also displays two pages side-by-side by default.

Luckily, Microsoft Word offers an easy way to switch back from the multiple pages side-by-side view to a single page view with the click of a mouse button. Here is how to do that.

Method 1 of 2

Make Office Word show one page at a time

Step 1: When the Word program displays two pages in side-by-side mode, click on the View tab and then click on the Vertical option to quickly switch back to the default single-page mode.

Note that if you are using the Word in Focus mode, please move the mouse cursor to the top edge of the screen to see the ribbon, including menu names.

The best part is that Microsoft Word will remember this setting for all documents. This means, from here on, Word will always open documents in single-page mode only.

Another way to make Word show one page at a time

Step 1: Click on the View tab and then click One page option. The Word will now show only one page now. However, it might change the Zoom settings to make this happen. No worries, you can correct it in the next step.

Change zoom settings to see one page at a time

You can change the current zoom setting to 130% or 150% to get out of the side-by-side mode. However, note that, you cannot change the zoom setting when you are viewing a document in side-by-side mode. You need to switch back to the single-page viewing mode and then move the zoom slider at the bottom right of the Word window to change the zoom settings.

When you zoom in, the text size of the document increases. So, you might want to change the text size under the home tab when you set the zoom to 130% or 150%.

This ‘solution’ is useless. I still have to manually turn it back to single page viewing every time I open a document. It’s very, very annoying.

I figured out a way to change it. Go to View and then click on “One Page” in the Zoom section. So far I have opened two additional documents and it stayed that way!!

What a waste of time reading your article. Microsoft Word does NOT “remember” to open all future documents as one page, and I still have to manually correct this every time I use the blasted thing. Microsoft are such a bunch of idiots.

As a workaround you can add the ‘Zoom’ function to your Quick Access Toolbar. Once added you can change to One Page view in 2 quick clicks without leaving your Home tab on the ribbon.

My preferred method for solving this is View -> Draft. It unfortunately removes the ‘look’ of working a printed page, but that’s far less of a pain than being forced into the anti-productive side by side view.

In regards to the solutions presented on this website:

Option 1 is invalid. It doesn’t work in any of the versions of Word I’ve used. They’ve all had View -> Vertical on by default and still show two pages side by side 100% of the time.

Option 2 feels is a hacky workaround for a development oversight. Microsoft really should have a proper option to choose whether to view pages side by side. It’s never been convenient for my workflow to have them side by side, and it messes with selecting data that crosses a page break.

Have you ever noticed that when you print out a Microsoft Word document, the size of the text on your computer screen does not match the size on the printout? If your documents seem a bit small on-screen, you can always just choose 125% or 150% to arbitrarily enlarge them on-screen (without changing how they print), but if you have ever wanted them to look the same size on-screen as they look when printed, read on for my advice on how to do this.

How on-screen magnification works
Programs like Microsoft Word have the ability to reduce or enlarge the display of an entire document on your screen without changing how it prints or fits onto each page. I’m not referring to changing the size of the font or margin (which actually changes the contents of the document and how it prints), but using the “View” or “Zoom” function (which only changes the appearance of the document on-screen). This lets you specify a percentage enlargement or reduction relative to its “100%” default.

Choosing a higher percentage enlarges what you see on the screen, which can be useful for reading small text or seeing more detail in embedded pictures, but will probably mean that you’ll have farther to scroll (vertically and possibly also horizontally) to travel through the entire document.

Choosing a smaller percentage reduces the size of everything, which can be helpful if you need to “step back” to look at how the document looks on the page, and will mean that you won’t have to scroll as far to get to the end of the document.

Word offers standard choices like 50%, 75%, 100%, 125%, 150%, and you can also type in any integer value you choose between 10% and 500%.

Also, don’t confuse this with the Scale or Scaling percentage you may be able to choose when printing your document (or when adjusting the settings in Page Setup in preparation for printing), depending on the type and model of printer you use. That only affects how the document prints, not how it looks on-screen.

  • Open any document in Microsoft Word (or the program of your choice).
  • Show (View) the on-screen Ruler if it is not already visible.
  • Maximize your document window (making it as wide as you can) to make the most use of your screen.
  • Take a real-life ruler and hold it up to the on-screen Ruler. Be careful not to scratch your screen, especially if your ruler has any sharp metal corners or edges.
  • If a real-life inch is larger than an on-screen inch, increase the on-screen magnification.
  • If a real-life inch is smaller than an on-screen inch, decrease the on-screen magnification.
  • For the best accuracy, compare the width of as many inches as you can (e.g., 5 or 10 or 12 inches, depending on the size of your monitor), not just one.
  • Keep adjusting the on-screen magnification up or down as appropriate, and then compare the real-life and on-screen rulers again. You will probably find that the standard choices like 125% will only get you somewhat close, so you’ll have to type in specific percentages like 113% or 83%. Repeat until the rulers match as closely as you can get them.
  • As you compare the rulers, I recommend moving your head so that your line of sight is always perpendicular to the screen. If you’re looking at an angle, your ruler comparison will be off.
  • When you’ve got the two rulers as close to the same size as possible, write down the percentage you arrived at. That’s the “magic number” that will make your documents look life-size on your screen.
  • Print the first page of the document and hold it up to the screen display of that same document. The two should be very close in size.
  • Toshiba Satellite 15″ laptop: 105%
  • MacBook Pro 15″ laptop: 153%

Instead of a real-life ruler, take a real-life piece of paper (for example, a sheet of 8.5″ x 11″), compare its width to the width of the on-screen “paper” displayed behind your document’s text, and then adjust the on-screen magnification up or down until their widths are the same. If your document is formatted in Portrait mode, use the real-life paper’s shorter edge; if it’s a Landscape document, use the longer edge. Be sure to make your document window as wide as you can so you can see the full width of the on-screen “paper.”

  • Open the document
  • Change the magnification as desired
  • Type in a character, e.g., “x”
  • Delete that character
  • Save the document

If you share your documents with other users
Changing the magnification in your documents can be very helpful and improve your productivity. However, if you then send such a document to someone else, they may find your enlargement or reduction distracting, confusing, and unproductive, especially if they don’t know how to change the magnification themselves. I recommend that you set the magnification back to 100% (and also save this change as I outlined above) before sending such a document to someone else.

Why doesn’t 100% magnification on screen just match the printed size?
It’s complicated. The simplest explanation is that the operating system assumes that it knows how text and pictures are displayed on your screen, including the number of dots per inch (DPI). However, your monitor’s actual DPI is probably larger (or sometimes smaller, depending on your hardware), which results in the reduction (or enlargement) that my technique above compensates for. I don’t know why the operating system can’t just get the right number to begin with.

For example, on my Toshiba Windows laptop, the operating system assumes that my monitor has 96 dots per inch (DPI). However, my laptop’s screen is 13.5″ wide and fits 1,366 pixels into that width, so its actual DPI is 1,366 dots / 13.5″ = 101 DPI. So, the correction is 101 / 96 = 1.05 or 105%.

The following VBA code can help to enlarge images in a Word document with a click. Please do as follows.

1. In the document contains images you will enlarge by a click, press the Alt + F11 keys to open the Microsoft Visual Basic for Applications window.

2. In the Microsoft Visual Basic for Applications window, click Insert > Class Module. Then copy below VBA code into the Class window.

Note: In the code, number 200 is the specified height and width of the enlarged images. You can change the height and width as you need.

4. Press the F5 key to run the code and close the Microsoft Visual Basic for Applications window.

Now, when clicking an image in this file, the image will be enlarged to the specific size as you desired.

Resize images with Kutools for Word

The Resize images utility of Kutools for Word can help you to resize all images by a specified percentage or selected image. Please have a try.

Click Kutools Plus > Resize, select a percentage from the drop down list. See screenshot:

1. Copy, paste, and cut with keyboard shortcuts.

Ask anyone who knows these shortcuts — Ctrl + C to copy, Ctrl + V to paste, and Ctrl + X to cut — and they will testify to their critical timesaving nature. Master these three basic commands first and you’ll find yourself zooming through document creation at surprising speeds.

2. Quickly zoom in or out to save eye strain.

Some people like to work in a Word window zoomed in to 150%, while others like to eliminate the need to scroll left and right or up and down by zooming out to 75% to see a document in its entirety. Either way, use the Window > Zoom button to choose the setting that works best for you — or look for the “100%” tab with a slider at bottom right of the document to easily zoom in or out.

3. Delete entire words at a time.

This is an easy one you may not know about: instead of slowly pecking at the keyboard to delete text, or holding down Backspace to eliminate words or entire sentences, press Ctrl+Backspace with the cursor placed after a word you want to erase a word at a time, making a tedious task much easier.

4. Use Smart Lookup to search the Internet.

Anytime you highlight a word or phrase and right-click it, you’ll see “Smart Lookup,” which serves as a quick shortcut to browse the web — without slowing down to open a separate browser window. From word definitions to news scans, this powerful tool can transform a simple question into a wealth of knowledge.

5. Remove unwanted formatting.

Trying to turn a document from an external source into something that works for you? Strange formatting can slow you down, so instead of trying to fix one thing at a time, press Ctrl + Space or click the Clear All Formatting button (in newer versions, an eraser on an A on the Home tab) to remove formatting from highlighted text and start fresh with your own style.

6. Tell the program exactly what you want to do.

Most newer versions of Word include a handy “Tell me what you want to do” field at the top of the toolbar. Insert a word or phrase pertaining to any instruction and the program can quickly identify the command you’re looking for.

7. Use multiple clicks to select chunks of copy.

Rather than employing the tedious drag and highlight method, you can use your mouse to select chunks of copy: double-click over a word to highlight it or triple-click to highlight an entire sentence or section.

8. Quickly insert links into a document.

Similar to the copy / paste / cut commands, learning the keyboard shortcut for adding web links to a document — Ctrl + K — will save lots of time and quickly become one of the sharpest tools in your kit.

9. Select the default font you want, not the default font Word wants you to use.

Don’t like Calibri or Cambria? Prefer Arial to Times New Roman, or like the modern nature of Verdana? The best part about Microsoft Word is you can choose the default font — this command differs by version, but the most reliable way is to click Format > Font, select the attributes you want, and then click Default.

10. Find any word you want quickly and easily.

Instead of using your mouse to navigate to the Find command, click Ctrl + F to either open the window in older versions of Word, or move the cursor automatically to the Search in Document menu that always appears in the toolbar in newer versions.

BONUS TIP: Click the drop-down arrow on the Find menu’s magnifying glass and click Replace to automatically replace a certain word or phrase with a different word or phrase you specify.
